Suggested customizations for contacts
- Drag the contacts smartlist to the shortcuts bar (optionally, make a custom smartlist and drag that to the shortcuts bar).
- If you have thousands of contacts, drag the "Recents" smartlist to the shortcuts bar and use the "quick find" window to search and display contacts. Click on the arrow to show in the main window. Double-click to edit.
- Collapse the navigator on the left by click on the leftmost icon in the shortcuts bar.
- Remove unnecessary icons from the toolbar (such as projects, opportunities etc...).
- Display the contacts area in List only mode (View -> List). Customize the list to display the columns you need (arrow icon on the top right of the list).
- If you use categories as your sales process identifier, consider looking at Daylite's opportunity feature.
- You can assign any number of keywords to a contact. Keywords are independent of categories.
Suggested customizations for the calendar
- Open the navigator if you've collapsed it and drag "My Calendar" to the shortcuts bar.
- If you have a team, create a team calendar and drag that to the shortcuts bar.
- Collapse the navigator.
- Display the "Due List" by clicking on the pushpin icon on the right. Note: The Due list show tasks that are due during the date range displayed in the calendar.
- Choose "Show Details" in the gear menu at the bottom of the "Due List". You can also choose to show overdue tasks from the menu. The details area will show the details of the last selected appointment/event or task.
- Do not use categories to represent people (your spouse, your teammates). Daylite has a specific user concept.
- If you use categories as a project identifier, you should consider looking into Daylite's project feature.
General interface comments
- You can use command+1 (to) 9 to switch between items in the shortcuts bar. You can drag re-arrange the shortcuts bar if you like.
- If you prefer multiple windows, use File -> New Daylite Window. Then switch to one of your shortcuts bar items in that window. Daylite remembers the number of main windows you have open.
- Linking is important in Daylite. When you have an appointment with some or you want to create a new appointment with someone - use the "Quick Find" window and drag a contact to an existing appointment or to a blank area in the week or day view.
- The create buttons in the toolbar are selection sensitive. If you have a contact selected and you click on "New Note", a new note will be created and linked to that contact. The same applies for tasks and appointments.
- In the preferences, you can specify global hot keys to bring up the Quick Find window while in any other application. You can also specify a different global hot key to create new tasks.
Is there a server?
Yes. The server is free. As an individual user, you do not need the server (unless you plan to use Daylite Touch or need access from multiple computers). The server can be installed on any Mac - from an iMac to a Mac mini to an Xserve.
What are the differences between Daylite and Now Contact and Now Up to Date?
Here we’ll explain the differences between the two applications and how to accomplish some (not all) of the same things
-
Daylite is a single unified applied application. Calendar &
Contacts (and other things) are all within one application.
-
Daylite has one central database with all the information in it.
With NUDC, you could create "personal" categories of
information that resided on your computer and "shared"
categories which resided both on your computer and the server. In
Daylite there is no such distinction. You separate personal
and shared data (if you have such a need) using our
"Visibility" feature. You can mark items as private, public of
visible/editable by certain people. The advantages of a
single database are numerous.
-
NUDC always talked to a local database and periodically synchronized
with the server. Daylite mainly talks to a central database
located on your server (or a co-located facility). Daylite has
the ability to create a local copy of that data (we call this feature
"Offline". In Daylite 3.9.x and below, you synchronized manually.
As of Daylite 3.10 (in late beta), the synchronization is automatic
- every 5 minutes if the server can be reached. NUDC copies
certain data from the contact record to a calendar record. Daylite
links the two records. In fact, one of Daylite's key strengths
is linking. Linking gives you much more context than is
possible in other applications.
-
Companies and Contacts are different in Daylite. In order to better
accomplish its key mission, Daylite makes a clear distinction between
a human being (a Contact) and a business entity
(an Organization). This may seem a bit cumbersome at first, but the
benefits will show themselves in the long run.
How do I migrate my data and what is moved over?
Contacts and appointments can be brought into Daylite from the Now database.
The Now importer uses Applescript to extract values from Now Contact and Now
Up-To-Date. The first step always is to import your contacts from Now Contact
into Daylite. Following this procedure, you can import appointments into
Daylite from NUTD. You should have only one document open while doing an
import (in both applications). It is advisable that you create a backup of
your database and then do the import. Always try doing an import into a test
database, so you can get a feeling as to how and where data is being imported.
If you are not satisfied, you can adjust some settings or try a different
import technique.
For step by step instructions, please refer to the Apple Help article within
Daylite entitled "Importing Now-Up-To-Date and Contact Data".

I don't have time. Can someone help me with this transition?
Absolutely. We have a network of partners that can help you. Our partners
can help you determine if Daylite is good fit for you. They can migrate your
data (as long as it in good shape). They can setup Daylite Server with
automatic backups and more. They can also train you and your staff on how to
best use Daylite. Then in the future, when you are more comfortable with the
basics of the app, they can train you on the more advanced features such as
delegation, projects, opportunities and more.
