01 How DMI works

DMI establishes a connection between Mail and DayLite. DayLite must be connected to exactly one database.

Inbound Emails

When you view an email (in the main window or a separate viewer), you will see a new drawer (we'll call that the DMI drawer). That drawer will ask DayLite to locate persons with the email address of the sender (and CC'd people). If a record is found for a given email address, that record is displayed in the DMI drawer. If for some reason, you have several people in DayLite with the same email address, then DMI will randomly pick one person. Now that the person is located, DMI will ask DayLite to locate open Opportunities and/or Projects linked to that person. DMI displays what it finds in the DMI drawer. Each row will show a located record in DayLite along with a checkbox. If you select the checkbox, then when you go to the next message or close the single message viewer, DMI will send the contents of the email to DayLite and link the 'checked' record to that email. Emails are stored in DayLite as notes. You can have DMI auto check the checkboxes by setting or unsetting some preferences.

Once a message is stored in DayLite, DMI will tell you so when you look at that message again. If the message was CC'ed to a coworker (a DayLite user as well), that coworker will be notified that that message is in DayLite so DMI will not store the same email message twice!

Outbound Emails

The same principal applies to outbound emails. When you key-in one or more recipients in the 'To' or 'CC' field of the compose window, DMI will be alerted and will ask DayLite to find matching contacts as well as open opportunities or projects. It is imperative that you tab out or click out of the 'To' and/or 'CC' fields in order to trigger DMI to do locate records in DayLite. When you 'Send' your email message, DMI will send the email contents to DayLite and link that message to the 'checked' rows from the DMI drawer. Messages are not sent to DayLite if you save the message as a draft or if you close the window without 'sending' the email. Once the email has been sent and you review the message (in the 'Sent' mailbox for example), DMI will realize that the message is in DayLite already and tell you so (so if you send the email to a coworker, it will not be stored twice!).

It is important to realize that emails are only sent to DayLite if DMI locates a matching record AND you have 'checked' the checkbox in the DMI drawer. If no checkbox is presented to you (i.e. contact not located or junk mail), then the email contents will not be sent to DayLite.

Once the message is linked and stored in DayLite, that message is accessible to other users on the DayLite network. You can access that email by looking the notes section of a contact. If you've associated the email with a project or opportunity, you'll be able to see the email in the notes section.
