We are often asked about Daylite's calendaring capabilities, so we decided to put together a few articles from our Apple Help feature (new to version 3.5), to provide users with more information about the calendar system. For more information and guidance, please refer to the built-in Help feature in Daylite. This can be accessed by choosing Help > Daylite Help.
About Calendars
Calendars are "virtual" objects in Daylite giving you a visual representation of appointments, meetings, and events based on the criteria you determine (i.e., users, category, kind). Appointments and calendars work closely in Daylite to help you manage your schedule. Daylite features 3 different ways to view your calendar: day, week, and month. You can navigate forward and backward through the days, weeks, and months of your calendar by clicking on the small grey arrows, located on either side of the mode switcher. Choose View > Calendars > Show Mini Calendars to view multiple months of your calendar at a glance.
When working in the calendar view, you can toggle the Due list. The Due list pane lists what is due (or forecasted) for completion. Note: This corresponds with the date range that is currently shown in your calendar. The Due list shows at a glance your list of tasks, projects, and opportunities that are due—based on what is viewed in the calendar. At the bottom of the Due list is a pop-down menu that can be used to view tasks, projects, or opportunities that are completed or overdue or even a business card view for a selected item. Zoom in or zoom out of your calendar using Window > Zoom from the menu. This is useful to ensure that your scheduled items and appointments are clearly visible. You can create different types of appointments in your calendar such as:
• Appointment: an agreement to be somewhere at a particular time • Event: an all-day or multi-day occurrence • Events display as a banner on the top of the calendar in the day and week view and at the bottom of the day in the month view. • Outbound call: a call that you make • Inbound call: a call that you receive • Chat: instant messaging • Meeting: a meeting is a gathering of multiple users to discuss something • Video: video-conferencing
Smart Calendars in Daylite can be used to filter calendar items based on specific criteria. You can set up smart calendars for a group of people (for example the sales team or the administration department). You can also set up smart calendars to group appointments by category (such as personal, preparation, business, etc). Using Smart Calendars, you can specify whether you wish to include scheduled items belonging to you or other Daylite users. To view and navigate the Daylite Calendar
Daylite features 3 different ways to view your Calendar: day, week, or month. Use the mode switcher above the Calendar view to switch between different modes. To navigate through the days, weeks, and months of your Calendar, click the small grey arrows located on either side of the mode switcher.
Choose Daylite > Preferences... Click General to adjust some general preferences for your calendar. Here you can set up Daylite to start the week on a particular day. You can configure Daylite to start and end the day at a specific time in your calendar. If you wish to view time in monthly view, select the Show time in month view checkbox. Restart Daylite after making changes to your Preferences.
To view multiple months of your Calendar at a glance, choose View > Calendars > Show Mini Calendars.
About Smart Calendars
A Smart calendar is a calendar that filters scheduled items that match the criteria you specify. You can create a smart calendar in the Source list pane. You can determine whether your calendar will include scheduled items depending on the kind of appointment you have created (for example, Inbound call, Event, Meeting... etc). You can also determine whether your calendar will include scheduled items based on the category you have assigned (such as Conference call, Meeting, Demo).
For instance, imagine you are in the videography business. You can create a smart calendar called "Video". Here, the kind of appointment you would select would be Video and you may choose to include appointments belonging to any or all of the categories. If you have many videographers working under you, you may select a particular person's name to view his/her video appointments. Once you have created this smart calendar, all changes that match the criteria you have set reflect in the smart calendar. This person may add new video appointments to the schedule, remove existing ones, or make changes, but, the smart calendar always updates the latest information.
The Smart calendar window has a Sources tab. Here, you can decide if you want to include scheduled items that belong to you or another Daylite user in your Smart Calendar. If you have Smart calendars that you are referring frequently, you can create a shortcut of your Smart Calendar in the Shortcuts bar for quick access. In cases where there are multiple Daylite users in the calendar, the user color takes precedence over the category color. You can set the user color of each user in your Daylite database by choosing Daylite > Preferences and clicking Users & Teams.
Creating a Smart Calendar
A Smart Calendar is a calendar that filters scheduled items in your database matching the criteria you have specified. This criteria can be either the type of appointment, categories, and/or users. For example, if you wish to filter all your meetings belonging to a specific category, you can create a smart calendar that specifies your criteria. Once you have created your smart calendar, any new scheduled items that match the criteria will be automatically included in this smart calendar by Daylite.
To create a Smart Calendar:
1. Choose View > Calendars 2. Choose File > New Smart Calendar... 3. A new Smart Calendar window opens. 4. Enter the appropriate information. Keep the following in mind:
• Specify a name for your smart calendar.
• You can determine whether your list will include scheduled items according to the type of appointment you have created (e.g., Event, Meeting, Appointment).
• You can determine whether your list will include scheduled items according to the categories ( Conference call, Meeting, Personal) you have specified.
• You can use the Sources tab to identify whether you want to include scheduled items that belong to you and/or other users. Select the checkbox for those users whose scheduled items you wish to include in your smart calendar. Each user's appointments will be appearing in a color that has been set in Daylite > Preferences. Click Users & Teams and select Users to view those colors.
5. Click Create. 6. Daylite adds a new smart calendar in the source list pane.
To delete the smart calendar, select the smart calendar and click the "-" button. To edit the smart calendar, click the "/.." button.
